When you contact us

If you contact Festpod through one of our website forms or by email, we may receive information including your:

  • name;

  • email address;

  • company or organisation, where relevant;

  • telephone number, if you choose to provide it; and

  • anything else you include in your message.

We use this information to respond to your enquiry and, where relevant, manage our relationship with you.

Our lawful basis will normally be our legitimate interests in communicating with people who contact Festpod and running our media and business activities. Where your enquiry relates directly to entering into or carrying out a contract with you, we may instead process the information because it is necessary for that contract or to take steps at your request before entering into one.

Editorial and industry contacts

Running a music and festival media outlet means we regularly hear from artists, bands, publicists, record labels, festival organisers, promoters and other people working in the music industry.

We may retain professional contact details, correspondence, press releases, interview arrangements and other relevant information so that we can carry out Festpod’s editorial activities and maintain useful industry relationships.

Our lawful basis for this is our legitimate interests in operating Festpod as a media outlet and maintaining relevant professional and editorial contacts.

Some of these contacts may be outside the UK.

Guests and contributors

If you appear on Festpod, contribute to our coverage or work with us in some other way, we may retain information needed to arrange and manage that relationship. This may include your name, contact details and relevant correspondence.

This information may be accessible to members of the Festpod team where they need it for Festpod’s activities.

Buying Festpod merchandise

Festpod merchandise is currently sold through Etsy rather than directly through the Festpod website.

When you buy something from our Etsy shop, Etsy handles the transaction and payment process. Wilko Productions Ltd receives information about your order where necessary to manage and fulfil it.

We currently use Two Fifteen as our print-on-demand fulfilment provider. Information needed to fulfil your order, such as your name, delivery address and order details, is provided to Two Fifteen so that your merchandise can be produced and delivered.

We do not receive or store your full payment card details through festpod.co.uk or festpod.uk.

We process information needed to manage your order because it is necessary to fulfil our contract with you. We may also retain information where necessary to meet our legal and accounting obligations.

Etsy and Two Fifteen also process information under their own privacy policies.

Advertising and sponsorship

Festpod may contain advertising, sponsorship or other commercial partnerships.

We do not currently provide advertisers or sponsors with personal information identifying individual Festpod visitors or listeners.

Information about visits to Festpod

Our website is hosted using Squarespace.

Squarespace may collect technical information about visits to the site, including information about browsers and devices and how visitors use the website. We use website analytics to help us understand how Festpod is being used and improve the site.

Where cookies or similar technologies require your consent, your choices are managed using the cookie controls on the website.

Cookies and similar technologies

Festpod uses these technologies for several purposes.

YouTube videos

Festpod includes YouTube videos using Squarespace’s standard video integration.

Squarespace supports YouTube’s consent mode through its cookie-consent system. YouTube may receive information when its content is loaded or when you choose to interact with a video.

Google and YouTube are responsible for information they process for their own purposes under their own privacy terms.

Acast podcast player

Festpod includes an embedded player provided by Acast so that you can listen to podcast episodes without leaving the website.

Acast currently states that its embedded player does not set cookies and that Google Analytics tracking in the embedded player is disabled.

Acast is responsible for information it processes through its services under its own privacy terms.

Links to other services

Festpod contains links to external websites and services, including our YouTube channel, podcast platforms, social media and our Etsy shop.

Following one of these links takes you away from the Festpod website. The privacy and cookie practices of the service you visit will then apply.

Where we keep information

Wilko Productions Ltd uses trusted service providers to help run Festpod and its business activities.

Depending on the information involved, these can include services provided by Squarespace, IONOS, Google, Apple/iCloud, Notion, Etsy and Two Fifteen, as well as services used to publish and distribute Festpod content.

Information may therefore be processed or stored using systems operated by these providers.

Where information is transferred internationally, we take appropriate steps to ensure it is handled in accordance with applicable data-protection law.

Who can access your information

Personal information is only made available where there is a reason for someone to have access to it.

Members of the Festpod team may have access to relevant information through our email, Google Drive, Notion and other shared working systems where this is necessary to carry out Festpod’s activities.

We may also share information with service providers where necessary to operate the website, communicate with people, store information or fulfil merchandise orders.

We don’t sell your personal information.

We may disclose information where we are legally required to do so.

How long we keep information

We don’t keep personal information for longer than we reasonably need it.

As a general guide:

  • ordinary enquiries and correspondence will normally be kept for up to two years after the matter is concluded;

  • relevant editorial and industry contacts may be retained for as long as the relationship or information remains useful to Festpod’s legitimate editorial activities;

  • guest and contributor information may be retained while it remains relevant to our relationship or editorial records; and

  • merchandise and financial records may be retained for longer where required for accounting, tax or other legal purposes.

We periodically review the information we hold and may delete or anonymise information that we no longer need.

Children

Festpod is aimed at an adult audience and our services are not designed specifically for children.

We do not knowingly seek to collect personal information from children through the Festpod website.

Your rights

UK data-protection law gives you rights over your personal information. Depending on the circumstances, these may include the right to:

  • ask for a copy of the personal information we hold about you;

  • have inaccurate information corrected;

  • ask us to delete your information;

  • ask us to restrict how we use your information;

  • object to certain uses of your information; and

  • receive certain information in a portable format.

Not every right applies in every situation.
